  • Public Officer for the Club

  • Spokesperson for the Club

  • Responds to correspondence – both to and from on behalf of the club

  • Assists in arranging speakers/presenters for club monthly meetings

  • Assists in organizing the Annual Bird Sale

  • Assists in marketing the Bird Sale

  • Liaison person with other Clubs, sponsors, advertisers etc

  • Keeps official record of attendances at monthly club meetings

  • Responsible for the safe keeping of the Clubs assets

  • Brings data projector, screen and club items to each club meeting

  • Chairs monthly committee meetings

  • Chairs monthly club meetings

  • Custodian of Club documents

 

Vice President

  • Assists President with all of the above, especially co-ordination and running of the Bird Sale

 

Secretary

  • Keeps official records of the Club

  • Takes minutes of committee Meetings and distributes to committee members

  • Takes minutes of Club meetings and provides these minutes to Editor for inclusion in Club bi-monthly magazine for member’s information

  • Follow up action items

  • Prepares all official letters

  • Send out correspondence to advertisers

  • Assist with Bird Sale

 

Treasurer / Membership Steward

  • Keep accurate financial records (income and expenditure)

  • Maintain cash book, hard copy and electronic

  • Carryout monthly reconciliation of Club’s cheque account

  • Receipt all income

  • Prepare all accounts for payment, arrange cheques to be signed

  • Pay accounts on time

  • Bank monies each month

  • Maintain membership register

  • Post receipts and new memberships cards to members

  • Provide financial reports at each Committee and Club meeting

  • Post Club Magazines to members who do not collect magazine at Club meeting

  • Post Club Magazines to affiliate clubs, life members, patrons, advertisers and sponsors

  • Arrange float for bird sale and Assist with preparations and on the day

  • Collect mail from post office box

 

Librarian

  • Maintain Library in good order

  • Bring Library books to each meeting

  • Monitor borrowings

  • Keep copies of club Magazines and Affiliate Club magazines

  • Assist Treasurer with membership renewals; Meet and greet new members

  • Assist with Bird Sale

 

Raffle Coordinator

  • Arrange items for monthly club raffles

  • Maintain raffle items in a secure location

  • Bring prizes to each monthly meeting

  • Manage sale of raffle tickets at Club meetings

  • Arrange Raffle for Bird Sale and Christmas function

  • Manage raffle books – ensure booklets are not duplicates at members meetings

  • Count monies and give to Treasurer for receipting and banking

  • Keep a record of raffle winners on the night and advise Editor of winners for publication in Club Magazine

  • If unable to attend a meeting, arrange, in advance, for another committee member to undertake this role

  • Responsible for the safe keeping of the Clubs assets

  • Assist with Bird Sale

 

Editor

  • Prepare 6 editions of the Club Magazine – Magazines are to be made available to members at the January, March, May, July, September and November Meetings.

  • Keep electronic copies of all Club Magazines

  • Arrange for collection of printed magazines prior to the club Monthly meetings on the dates specified and bring to club meeting

  • Each Financial member receives a Club magazine

  • Each member is to sign Club Magazine register on the Friday night when they collect their copy

  • Residual magazines and register are then given to Treasurer who will send out to members who were not at the meeting and to affiliate club, patrons, sponsors, advertisers, life members etc.

  • Obtain articles for magazine – fellow club members to assist in providing materials for publication Assist with Bird Sale

  • Obtain information from members regarding sale and purchase of birds for inclusion in the magazine

 

Web Coordinator

  • Maintain and update P.S.O.A web site with Club information each month

 

Exchange Steward (Rings)

  • Maintain stock and register of P.S.O.A rings

  • Sell rings to members at monthly meetings

  • Monies to be given to treasurer

  • Maintain Exchange Steward notice board

  • Print forms for sale

  • Ensure all advertisers are current members

  • Send a copy of current and previous months exchange information to the Editor for publishing in magazine and on the web

  • If unable to attend a meeting, arrange, in advance, for another committee member to undertake this role

 

Other Committee Members

  • Assist with Bird Sale and other tasks as required

  • General input

  • Can be Co-opted to a position as required
